MAGS Financial Policies


 

1.  MAGS Awards

a.  MAGS Distinguished Master’s Thesis Awards.  The two winners of the MAGS Distinguished Master’s Thesis Award will receive a $750 honorarium.   A maximum of $500 is authorized to help cover the expenses of each winner to attend the Annual Meeting to receive the award.  It is expected that the winner’s institution will cover any travel expenses that exceed $500.  If an awardee is unable to attend the conference, MAGS will not reimburse an alternative guest to receive the award on behalf of the winner.

b.  MAGS Excellence in Teaching Awards.  The two winners of the MAGS Excellence in Teaching Awards (one PhD and one Master’s student) will each receive a $750 honorarium.  A maximum of $500 is authorized to help cover the expenses of each winner to attend to the Annual Meeting to receive the award.  It is expected that the winner’s institution will cover any travel expenses that exceed $500.  If an awardee is unable to attend the conference, MAGS will not reimburse an alternative guest to receive the award on behalf of the winner.

c. MAGS 3MT Awards. The winners of the MAGS 3MT Awards will each receive an honorarium as follows: $750 for First Place, $500 for Second Place, and $250 for People’s Choice. It is expected that the nominating institution will cover travel expenses for all 3MT nominees. Therefore, no additional travel expenses will be provided by MAGS to 3MT award winners.

d. MAGS Excellence and Innovation in Graduate Education Award. The winner of the Excellence Award will be offered free registration to the MAGS annual conference for that year.

e. MAGS will pay mailing costs and other reasonable expenses (such as conference calls) associated with the selection of the winners.

2. MAGS Annual Meeting

a.  MAGS will waive the Annual Meeting registration fee, and will pay on-site expenses (hotel and meals) for the CGS President and two staff members.  CGS is expected to cover travel costs.

b. In recognition of corporate sponsorship of the Distinguished Master’s Thesis Awards, the Excellence in Teaching Awards, the Excellence and Innovation in Graduate Education Award, the breakfasts at the annual meeting or the receptions at the annual meeting, MAGS will waive the Annual Meeting registration fee for one representative from the sponsoring company for each type of support.

c.  MAGS will waive the Annual Meeting registration fee, and will pay on-site expenses (hotel, and meals not otherwise included in the conference), for an invited Plenary Speaker. Travel and transportation receipts are required for reimbursement. Any honorarium to be determined by vote of the Executive Committee.

d.  MAGS will waive the Annual Meeting registration fee for the chairs of the regional associations of graduate schools (i.e. NAGS, WAGS, CSGS).

e.  Annual Meeting registration fees for members of the MAGS Board will be waived.

f.  Members of the Executive Committee will be reimbursed for expenses incurred for attending the summer planning meeting of the committee.

g.  The Secretary/Treasurer will be reimbursed for travel incurred while negotiating hotel contracts for future annual meetings. The cost of printing MAGS stationery, dues notices, meeting registration forms, ballots, and the final program for the Annual Meeting will be paid by MAGS, as will the cost of mailing these items.

h.  Registration fees for the Annual Meeting of MAGS will be determined by the Executive Committee.

i.  Cancellation policy for Annual Meeting Registration fees: full reimbursement for requests submitted at least 30 days prior to the start of the meeting, 50% reimbursement for requests submitted within 30 days of the meeting, and no reimbursement will be allowed after the start of the meeting.

3.  MAGS will cover the transportation costs for a member of the MAGS Executive Committee to attend the Spring CGS Board Meeting.

4.  Mileage reimbursement is at the rate consistent with Federal IRS guidelines.

5. Receipts are required for all reimbursements.
